Workflow Automation and Process Software

We develop custom automation solutions that remove repetitive manual work, copy-paste reporting and waiting on approvals — and connect your systems to each other.

Workflow automation means software taking over the manual jobs a company repeats every day: moving data from one Excel file to another, keying incoming orders into accounting, waiting on an email for an approval, compiling the month-end report by hand. Each job looks small on its own; repeated many times a day, they create a serious cost in time, attention and errors. Automation binds these steps to rules and runs them in the background — error-free and auditable.

Ready-made automation tools usually solve a single scenario and force you to fit their logic. Yet every company's approval chain, exceptions and systems are different. In custom development the flow is built around your process: under which condition it goes to whom, in which situation it stops, which system it pulls data from. It talks to your existing ERP, CRM, accounting and production software over APIs; it does not lock your data into a box.

At Pan Innovation House we treat automation not as a one-off macro but as a living system. Every flow is logged, raises an alert on failure and falls back to human approval when needed — so control always stays with you. Source code and data are 100% yours, everything is built API-first, and every delivery passes the four-eyes review (Pan Standard).

Who is it for?

Who is Automation & Workflow a good fit for?

Teams drowning in repetitive office work

If your accounting, purchasing and operations teams spend a large part of the day on data entry, invoice transfers and report compilation, we automate those steps and shift the team to work that needs judgement.

Gaziantep's manufacturing and industrial companies

In carpet, machinery, textile and food producers, the order-production-dispatch chain is often tracked by hand across separate files. With system-to-system bridges and approval flows we connect that chain end to end.

Companies with slow approval and sign-off processes

When expense, leave, order or quote approvals travel by email and phone, the process becomes invisible and untrackable. With digital approval flows we put every step on record and make waits and ownership clear.

Exporters and multi-system businesses

In companies running several systems — e-commerce, B2B dealer networks, ERP, carriers — syncing data by hand is both slow and error-prone. With scheduled tasks and integrations we keep the systems in sync automatically.

What we build

What we deliver within Automation & Workflow

Approval and workflow engines

For processes such as expenses, purchasing, quotes and leave we build multi-step, conditional approval flows: who approves, at what amount it escalates to whom, and when it sends a reminder after waiting too long. Every step is on record.

System-to-system bridges and integration

We connect ERP, CRM, accounting, e-commerce and carrier systems to each other over APIs and webhooks; a record created in one system is transferred to the other automatically by rule, with no manual re-entry.

RPA — automating rule-based manual work

For legacy systems or web panels without APIs, we use software robots (RPA) at screen and form level to bind the click-and-type steps a person performs to rules and make them repeatable.

Scheduled and triggered tasks

We run jobs such as overnight data syncs, end-of-day reports, periodic backups and invoice generation automatically, via scheduled tasks or event triggers (a new order, a stock threshold).

Document and data processing flows

We automate document-heavy processes: reading incoming PDFs, Excel files and emails into the right system, connecting them to e-invoice/GİB flows, and generating reports automatically and sending them to the right people.

Notifications, alerts and exception handling

If a flow gets stuck somewhere or a condition is not met, the responsible person receives an email, SMS or panel notification. Errors do not vanish silently; every exception becomes visible and trackable.

Traceability and audit logging

Every automated step is logged: what ran, when, with which data. You can see where the process speeds up or gets stuck, and you gain a solid history for audit and reporting.

How we move from discovery to go-live

  1. 01

    Process discovery and mapping

First we map the current flow step by step: who does what, which systems are involved, what the exceptions are. Together we pick the steps best suited to automation and with the biggest time savings.

  2. 02

    Flow design and approval logic

We design the steps to automate, the conditions, the approval chain and the failure cases as a written flow and confirm it with you. We decide together what runs automatically and what stays on human approval.

  3. 03

    Integration and development

We develop the flow in short sprints and connect it to your existing systems over APIs. At the end of each sprint we show the working piece and move forward on feedback; every delivery passes the four-eyes review.

  4. 04

    Testing, pilot and go-live

We test the flow with real data and exception scenarios, and pilot it first in a limited area. Once the results are validated we roll it out gradually to full production and hand over its use to your team.

  5. 05

    Monitoring, maintenance and improvement

After go-live we watch the flows through logs and alerts. We provide maintenance under SLA, and as your process changes we update the flow and extend it with new steps.

Frequently asked questions

Common questions about Automation & Workflow

What are the cost and duration of an automation project?

A firm figure only emerges after discovery. Cost and duration depend on the number of steps to automate, the number of systems to connect and the complexity of the exceptions. After the discovery call we pin down the scope and give you a written, realistic quote. We do not quote made-up numbers upfront.

Do I have to replace my existing systems?

No. Our aim is not to replace the ERP, CRM, accounting and e-commerce systems you use, but to connect them and remove the manual work in between. We integrate directly with systems that have APIs, and via files or RPA with those that do not.

I have a legacy system with no API — is automation still possible?

In most cases, yes. Where there is no API we can build file-based transfer, database-level integration, or automation at screen and form level with RPA (a software robot). We determine the right method together during discovery.

Will the source code and data belong to us?

Yes. The source code, documentation and data of every flow we build are 100% yours. You are not locked into a particular tool or into us; you can continue with your own team or another team at any time.

What happens if the automation makes a mistake somewhere?

Flows are designed with exceptions in mind from the start. If a step gets stuck, the process does not vanish silently: the responsible person is notified, the state is logged, and it falls back to human approval when needed. Critical decisions can stay entirely on manual approval if you wish.

Do you provide maintenance and support after go-live?

Yes. Under SLA we provide monitoring, fault fixing and update support. As your process changes we adapt the flows and extend the system with new steps and integrations.

AI & LLM Solutions

We are not talking about an off-the-shelf chatbot, but an AI layer that works on your own data and produces measurable gains. We weave chatbots, customer assistants, document understanding (RAG), internal search and report generation into your organisation's processes — and the source code is 100% yours.

AI Agents and Autonomous Workflows

We go beyond an assistant that answers questions and build workflows that complete work in multiple steps: classifying the incoming request, pulling data from your systems, checking the rules, opening the record and dropping to human approval where needed. Every step has defined permissions; every step leaves a recorded trail.

Document Intelligence and Automated Data Extraction

We build a layer that reads incoming invoices, delivery notes, specifications and customs documents field by field and posts them into your ERP. It validates every field it reads against your own records, routes anything it is unsure of for approval, and keeps a record of which value came from which part of which document.

On-Premise AI Deployment and Model Routing

For organisations that will not let their data leave the building, we build model infrastructure that runs on your own servers or in your own cloud tenancy: hardware planning, model selection, internal document search, routing that decides which job goes to which model, and cost measurement.
