Low-code tools answer a real need. When a department needs a small automation, waiting in the software team's queue often takes longer than the job itself. These tools skip the queue: a setup that connects two systems, sends a notification or runs an approval flow stands up in hours rather than days. That speed is real and should not be belittled.

But the speed has a flip side, and we prefer to spell it out. A flow that is easy to build is easy to forget. Six months later, nobody knows who built it, which system it connects to with which permissions, or which password is buried inside it. The person who built the flow leaves, and the flow keeps running; when it breaks, nobody can intervene because nobody knows what it does. Before long the organisation carries an automation web nobody can map.

Our approach is not to reject the tools but to frame them. The platform is installed on your own server, connections to systems are defined centrally and auditably, and secrets are kept in a separate vault rather than buried inside flows. Every flow has a written owner and purpose. Who may build flows, who may connect to which systems, and which operations must never be done with a low-code tool are settled from the start. With that frame in place, the speed is kept and the sprawl is prevented.

The second question is which work belongs in these tools. Low-code platforms are highly efficient for connections, notifications, approvals and simple data transfer. By contrast, complex business rules, high-volume data processing and critical financial calculations built with these tools produce fragile structures that are hard to maintain. Central definition of system connections

ERP, database, e-mail, file server and external service connections are defined centrally; flows do not each set up their own. When a password changes it is updated in one place, and which flow reaches which system stays visible.

Secrets management

Passwords and keys are not buried inside flows; they live in a separate vault and access to them is logged. The most common security problem in low-code environments is credentials sitting in the open inside flow definitions.

Authorisation and flow ownership

Who may build flows, who may only run them, and who may connect to which systems is defined. Every flow has an owner and a written purpose; ownerless flows cannot be created.

Monitoring, error handling and inventory

The running state of flows is monitored, failures are notified and retry rules are defined. The inventory of all flows sits on one screen: what it does, who owns it, when it last ran, how many times it failed.

How we move from discovery to go-live

    1. Inventory of existing automation

    We map what runs today, who built it and what it connects to. Everything from Excel macros to scheduled tasks goes into the inventory. This pass usually surfaces a handful of critical flows nobody knew about.

    2. Platform selection and installation

    The platform that fits the need is chosen and installed; backup, update and access arrangements are defined from the start. The installation itself is usually the shortest part of the job.

    3. Writing the governance rules

    Who may build flows, where secrets live, which work must not be done on the platform and how flow ownership works is written down. Skip this step, and within six months the same sprawl rebuilds itself on the new platform.

    4. Migrating the first flows

    Existing critical flows are moved onto the platform and brought up to standard. During migration some flows turn out to be obsolete; those are not moved — they are shut down.

    5. Training and handover

    The people who will build flows are trained, the checklist is left behind and the monitoring panel is handed over. Who holds maintenance responsibility is put in writing; it is the most skipped item and the one that causes the most trouble.

Frequently asked questions

Common questions about Low-Code Automation Platform Setup

With these tools, won't we stop needing developers?

You will still need them, and it is right to say so up front. Low-code tools are very efficient for connections, notifications and simple flows; for complex business rules, high-volume data processing and critical calculations they produce fragile structures that are hard to maintain. The right setup uses both, with the boundary between them in writing.

We have already built a few flows. Do we redo everything?

No. First the inventory is drawn up: which flows work, which are now unnecessary and which are risky. Some can stay as they are, some are brought up to standard, some are shut down. Not breaking what works is a founding principle.

Who will maintain it?

We answer that at the start of the project, not the end, because this is the gap that causes the most trouble. Maintenance either goes to a named person on your own team or is placed outside under a maintenance agreement. Automations left ownerless stop the business when they break, and nobody knows where to start.

Does our data leave the company?

The platform is installed on your own server or in your own cloud tenancy; data does not go out. If a flow connects to an external service, what data goes there is defined and logged. That is the fundamental difference from cloud-based automation services.

What about licence costs?

It depends on the platform chosen; open-source options may carry no licence cost, but server and maintenance costs remain. At the selection stage we calculate and compare the total cost — licence, server and maintenance burden together. A comparison that looks only at the licence fee is misleading.

What do we end up with?

An automation platform installed in your own environment; central connection and secrets management; authorisation and ownership rules; an inventory of running flows and a monitoring panel; a written boundary defining what may and may not be built on the platform; and a checklist for the team.
